PERSONAL TUTOR PROGRAM

Suresh Gyan Vihar University is an Institution that doesn’t stress upon just Academics; but believes in making every Student completely at home with having its Personal Tutor Program where every Faculty is a designated Personal Tutor and is allotted a small group of Students (Tutees). Under this Program the following are the responsibilities and duties of Personal Tutors:


  1. He will ensure filling of Registration Forms by the students in the beginning of each semester and will sign the Registration form.
  2. He will help the students in choosing their elective courses.
  3. He will act as Teacher Guardian for Students (Tutees) allotted to him.
  4. He will help his students in their difficult times, like a parent does.
  5. He will identify the academically weaker and meritorious students from his group, for strategic planning to improve the overall performance of his tutees. He may choose Meritorious Students as Student Mentors and allot 2-3 students to each of them. Student Mentors will regularly monitor the allotted students.
  6. He will maintain all the relevant record of students in the Personal Tutor Diary, such as [but not limited to] academic result academic performance in the courses, attendance in all courses, back paper details (if any), participation in games/sports/club activities, disciplinary action taken against them (if any), regularity in appearing in weekly tests, submission of graded assignments, completion of Lab projects in time, Soft skill development needed etc.
  7. He will keep a record of their problems (social, academic, health related, financial) and will bring to the notice of higher authorities the serious problems, if any.
  8. He will assist them in redressal of their grievances.
  9. He will help the students in getting leave on account of any medical or other emergency after being satisfied by the explanation given by the students.
  10. He will assist HOD in awarding DECA marks to students (if so required by HOD).
  11. Each PT will occasionally interact with the teachers teaching his tutees to get first-hand information about their academic progress.
  12. He will be in touch with the parents of his tutees and will send letters to the parents of all such tutees whose attendance is
  13. He will interact with the students to find out whether they understand the lectures. He will report the findings to the HOD for corrective action if required.
  14. He will call a parent-teacher meeting and will inform the parents about the progress of the students. Proper guidance will also be provided to the parents about Do's and Don'ts.
  15. He will ensure that the students fill Examination Forms in time. The defaulter list shall be submitted to HOD for further action. He will check that the Examination forms have been filled correctly by the student and all the Back Papers are included in the list.
  16. He will arrange the distribution of Admit Cards/ Mark sheets to students if required.
  17. He will download the results of tutees declared by CE and record them in Personal Tutor Diary.
  18. He will obtain the list of his tutees from Registrar office having DUES (fee, fine) and help them to pay the dues as far as possible.
  19. The HOD will periodically monitor the progress of PTS and conduct the meetings with PT of his department at least once in a month.
  20. If a student is regularly absent for more than 3 days, then subject teacher will inform to Personal tutor regarding that and personal tutor will immediately contact to that student or inform to their parents.
  21. Maintain record regarding information to parents and students with date, time, communicated person and their response.
  22. Make arrangements that students can take leave with prior information (leave application) and in emergency case at-least inform to personal tutor.
  23. Personal tutor must keep complete records of assigned students (like Current Address, Permanent Address, Current Mobile No., Parents’ Mobile No., Marks Percentage of 10th, 12th and upwards to previous Semester, Leave Applications, Medical Certificates, Participation in Co-Curricular activity, Academic details and Parents calling records).
